Supply Tracking

Running out of your favorite glue mid-project is every miniaturist's nightmare. The Supplies page helps you track what you have, set alerts when you're running low, and even keep a wishlist of materials you'd like to buy.


Before You Begin

  • You need a Mini Vault account. Create one here →
  • The Wishlist tab and Supply Analytics are available on the Pro plan.

How to view your supplies

  1. Click Supplies in the sidebar on the left.

  2. Your supplies appear as cards in a grid. Each card shows the supply name, category, brand, current quantity, and price.

tip

A colored bar on each card shows your quantity at a glance — green means you're well-stocked, yellow means you're getting low, and red means it's time to reorder.


How to add a new supply

  1. Click + Add Supply in the top right of the page.

  2. Enter a name in the Name field. This is the only required field.

  3. Select a Category from the dropdown (Paint, Adhesive, Wood, Fabric, and more).

  4. Optionally fill in the Brand and Price fields.

  5. Use the Quantity slider to set how much you currently have (0–100%).

  6. Adjust the Warning Alert and Critical Alert sliders to set when you'd like to be notified that stock is running low.

  7. Click Add Supply at the bottom of the form.

You'll see a confirmation message, and your new supply appears in the list.


How to edit a supply

  1. Click the name of any supply card to open it.

  2. The form opens with your current details filled in. Change any field you'd like to update.

  3. Click Update to save your changes.

tip

You can also click the quantity bar on any card to quickly adjust just the quantity without opening the full edit form.


How to delete a supply

  1. Open the supply you'd like to remove by clicking its name.

  2. Choose Delete at the bottom of the edit form.

  3. Confirm when prompted.

caution

Deleting a supply is permanent and can't be undone. If you just ran out of something, consider setting the quantity to 0% instead.


How to search and filter supplies

Search by name

  1. Type a name (or part of a name) into the Search supplies field at the top. Results update as you type.

Filter by category

  1. Click the All Categories dropdown and select a category like Paint or Tools. Only supplies in that category will be shown.

Show low-stock items only

  1. Check the Low Stock checkbox to the right of the category dropdown. Only supplies below their warning threshold will appear.
tip

You can combine all three filters. For example, search for "Tamiya" with the category set to "Paint" and Low Stock checked to find paints from Tamiya that need restocking.


How to use the Wishlist

The Wishlist is for supplies you'd like to buy but haven't purchased yet.

  1. Click the Wishlist tab next to Inventory at the top of the page.

  2. Click + Add Supply to add a new wishlist item.

  3. Fill in the name, category, and optionally add a Product URL (a link to where you can buy it).

  4. When you've purchased the item, click its card and select Mark as Purchased. Set the initial quantity, and the item moves to your Inventory automatically.


How to view Supply Analytics

  1. Click Analytics in the top right of the Supplies page.

  2. Use the date range buttons (7d, 30d, 90d) to change the time window.

  3. The Pro Insights section shows usage trends, cost breakdowns, and reorder suggestions.


Frequently Asked Questions

What does the quantity percentage mean?

The quantity percentage is an estimate of how much of a supply you have left. It's not tied to a specific unit — just your best guess from "empty" (0%) to "full" (100%). You can adjust it any time.

How many supplies can I track?

Free accounts can track up to 25 supplies. Premium accounts get 200, and Pro accounts get unlimited supplies plus the Wishlist and Analytics features.

What are the Warning and Critical thresholds?

These are the quantity levels where Mini Vault will show you an alert. The yellow Warning badge appears when your supply drops below the warning threshold (default 20%). The red Critical badge appears below the critical threshold (default 10%). You can customize both when adding or editing a supply.
