Supply Analytics

Ever wonder which supplies you burn through the fastest? Or how much you're really spending on materials each month? Supply Analytics gives you a clear picture of your usage patterns, highlights your most-used items, and tells you when it's time to reorder — so you never run out mid-project.


Before you begin


How to open Supply Analytics

  1. Click Supplies in the sidebar on the left.
  2. Click the Analytics button in the top-right corner of the Supplies page.

You'll see your Supply Analytics dashboard with all your usage data.

The Consumption Trends widget at the top shows your total usage over time.

  • Total Used — the total quantity of all supplies consumed in the selected period.
  • Total Cost — the total dollar value of supplies consumed.
  • Weekly bars — each bar shows how much you used that week. Taller bars mean heavier usage.
tip

Watch for weeks with unusually high bars — they often line up with big project pushes.


How to change the date range

You can view your analytics for different time periods using the date range buttons in the top-right corner.

  1. Look for the 7d, 30d, and 90d buttons next to the cost confidence indicator.
  2. Click the period you want:
    • 7d — last 7 days (great for checking this week's usage)
    • 30d — last 30 days (the default view)
    • 90d — last 90 days (shows longer-term patterns)

All widgets on the page update automatically when you switch the date range.


How to find your most-used supplies

The Hot Items widget shows your top five most-used supplies, ranked by quantity or cost.

  1. Find the Hot Items section below Consumption Trends.
  2. Each supply shows its name, category, total quantity used, and total cost.
  3. To switch the ranking, click the toggle buttons at the top of the widget:
    • Click the chart icon (📈) to sort by quantity — which supplies you use the most.
    • Click the dollar icon (💲) to sort by cost — which supplies cost you the most.

How to check reorder suggestions

The Reorder Suggestions widget tells you which supplies are running low and need restocking. It uses your actual usage rate — not just a simple threshold — to predict when you'll run out.

Each suggestion shows:

  • Supply name and current quantity remaining (as a percentage).
  • Order amount — how much to order based on your usage patterns.
  • Lead time — how long the supply typically takes to arrive.
  • Urgency badge:
    • 🔴 Critical — you're at or past the reorder point. Order now.
    • 🟡 Soon — you'll run out within the lead time window.

A Critical reorder suggestion means you may run out before a new order arrives. Place your order as soon as possible.


How to read the usage heatmap

The Usage by Day heatmap is available on the Pro plan. Compare plans →

The Usage by Day heatmap shows which days of the week you use supplies the most. Darker green squares mean more usage on that day.

Below the heatmap, you'll find three quick stats:

  • Total Uses — total number of usage entries logged in the period.
  • Peak Day — the day of the week when you use the most supplies.
  • Total Cost — total cost of all supplies used in the period.
Advanced: Understanding the Cost Efficiency widget

The Cost Efficiency widget (next to the heatmap) rates each supply's cost-per-unit compared to the average:

  • Efficient (green) — below-average cost per unit. You're getting good value.
  • Average (gray) — typical cost per unit.
  • Review (orange) — above-average cost per unit. Consider finding alternatives.

How to understand ABC Analysis

ABC Analysis groups your supplies by how much they contribute to your total spending:

Each supply shows its total cost and cumulative percentage. Use this to focus your budgeting on the A-class items that make up most of your spending.

If you're looking to cut costs, start with your A-class supplies. Even small savings on these items have the biggest impact on your total budget.


How to understand the cost confidence indicator

The green indicator in the top-right corner (e.g., "Based on 98% actual costs") shows how reliable your cost data is.

  • 100% — every usage entry has an actual cost recorded. Your analytics are fully accurate.
  • Below 100% — some usage entries are missing cost data. The analytics still work, but the cost figures are estimates for those entries.

To improve your confidence score, make sure every supply has a price set in its details.


Frequently Asked Questions

Why don't I see the Analytics page?

Supply Analytics requires a Premium or Pro subscription. If you're on the Free plan, you'll see an upgrade prompt instead. Compare plans →

Why is a supply missing from Hot Items?

The Hot Items widget only shows supplies with logged usage in the selected date range. If a supply doesn't appear, it may not have any usage records, or the usage may have occurred outside the current date range. Try switching to 90d to see a wider window.

What does "Reorder now" mean?

"Reorder now" means you've already passed the calculated reorder point for that supply. Based on your usage rate, you may run out before a new order arrives. Place your order as soon as possible.

How do I see the Usage by Day heatmap?

The heatmap is a Pro feature. Scroll down to the Pro Insights section to find it. If you're on Premium, you'll need to upgrade to Pro to access this widget.
